We collect information about you in order to deliver our services to you. This information will be collected directly from you, except when it is necessary to perform checks with a third party (such as reference and credit history checking) with your permission.

All information collected is used exclusively for tenancy administration purposes. What we collect may differ depending on the circumstances of your interaction with us.

Tenants

When you attend a property viewing with us, we will collect:

• - Your name and contact information

When we are considering your application for a property, we will collect:

• - Identification information, including name, gender, age, or date of birth.

• - Identity verification documentation (driver's license or passport).

• - Contact information, including current address, email address, and phone number.

• - Information relating to previous tenancies. This includes reference checks and could include details of any tenancy disputes.

• - Financial information to show ability to pay rent, including credit history and previous rental payments. We will not collect evidence of your spending habits.

We do not require applicants to provide cover letters or "rental CVs", and do not make use of them as part of the application process.

When you are renting a property through us, we will collect:

• - Information gathered as part of routine property inspections, which could include photos of the condition of the property inside and outside during inspection. These photos may be used for future correspondence in regard to any maintenance and insurance purposes. 

Landlords

As part of administering the tenancy of your property, we will collect:

• - Your name and contact information.

• - Account and payment information.

Information relating to successful applications and subsequent tenancies is retained for the length of the tenancy, and for a period of 12 months beyond that in accordance with our obligations under section 123A of the Residential Tenancies Act (1986). Information provided for initial property applications will be deleted upon completion of rental application process.

Providing your information to us is not compulsory, but we may not be able to deliver our services if some information is not provided.

Our information is held securely in tenancy.co.nz  and MRI Palace property management software. We do not create or hold any physical (paper) records.

We will not share your information, except when required to do so as part of administering the tenancy. This could involve:

• - Confirming your information with references provided and completing a credit check.

• - Sharing tenancy application information with the landlord as part of the application process.

• - Sharing your name and contact details with property maintenance services as required.

• - Sharing your information with our partner MovingHub to facilitate use of their services, with your permission.

• - With the Tenancy Tribunal, in the event a dispute occurs.

• - With debt collection agencies, should funds remain unpaid.
